Staff & Rostering setup guide
Estimated setup time: 15–20 min
Before you start
- A list of staff members, roles and standard availability
- Your award/pay rates if you want labour-cost forecasting
Setup steps
- 1
Add your team
Under Staff → Team, add each staff member with role, POS PIN and standard availability.
- 2
Set permission levels
Assign a permission level per role (cashier, floor, kitchen, manager) to control what each PIN can access on the POS.
- 3
Enter pay rates (optional)
Add hourly rates under Staff → Payroll Settings to unlock labour-cost forecasting alongside rostering.
- 4
Publish your first roster
Build a roster manually, or let NUA propose one under Staff → AI Roster based on forecasted covers, then adjust and publish.
- 5
Enable shift swaps
Turn on staff-initiated shift swaps under Staff → Settings so approved swaps don't need manager intervention.
- 6
Review the labour-cost view
Check Staff → Labour Cost against forecasted revenue to confirm your roster is landing in a healthy cost-of-labour range.
Tips
- AI-proposed rosters get more accurate the longer Reservations and POS have been feeding it real demand data.
- Let staff swap approved shifts themselves — it's consistently the most-used automation in this module.
- Cross-check the labour-cost view weekly rather than per-shift; it's more useful as a trend than a single data point.
Troubleshooting
- AI Roster suggestions look overstaffed or understaffed.Confirm Reservations and POS are both connected under AI Agent → Data Sources — roster forecasting depends on both.
- A shift swap didn't apply.Swaps between staff of different permission levels require manager approval by design — check Staff → Pending Approvals.
